Title:

Administrative Assistant (Full time)

Reports To:

Partners/Chief Operating Manager

Summary:

This position's main purpose is to complete administrative office tasks including but not limited to greeting visitors, providing polite and professional assistance via face-to-face meetings, phone calls, mail and email; scheduling meetings and arranging travel accommodations and generally being a helpful and professional presence in the workplace.

Job Duties:

  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings and reordering supplies

  • Providing real-time scheduling support by booking appointments and avoiding conflicts

  • Making travel arrangements, such as booking flights, cars and making hotel and restaurant reservations

  • Screening phone calls and routing callers to the appropriate people in the firm

  • Using computers to generate reports, create presentations and conduct research

  • Typing, scanning, and assembling client reporting packages such as, but not limited to:  Financial statements, T1 and T2’s, T4’s and T5’s, T3’s etc.

  • E-filing documents/tax returns as directed

  • Greet and assist clients and guests

  • Maintain polite and professional communication via phone e-mail, face-to-face and mail

  • Update and maintain office policies and procedures

  • Maintain contact lists

  • Act as the point of contact for internal and external clients

  • Anticipate the needs of others in order to ensure their seamless and positive experience

  • Other responsibilities as required and assigned. 

Requirements:

  • A degree or diploma in a related field

  • Prior administrative experience

  • Excellent computer skills, especially keyboarding

  • Strong attention to detail

  • Excellent communication skills 

  • Proactive

  • Excellent time management and prioritization skills

  • Strong organizational skills with the ability to multi-task

  • Good teamworking ability
